When should money be collected from customers? All monies should be collected at the time of sale.

What should I do when the sale ends? At the end of the sale, collect brochures and money, and using our order forms, tally up the product sold. This is usually done the weekend after the sale. Then fax or e-mail the tally sheet to J&M Fundraising and we will process your order.

When will I find out what our profit is for the sale? J&M Fundraising will supply you with an invoice showing products ordered, gross sales, your commission/profit, amount owed to J&M Fundraising, shipping date and delivery date. Usually within 24hrs of submission of your order.

When do I need to remit payment and what payment method may I use? Payment is due upon reciept of invoice, Please send a cashier’s check or school check or business account check for the amount due (shown at the bottom of the invoice) to J&M Fundraising. Payment must be received before your order ships.

When will I receive my order? 16 days or less after we place the order, your order will be drop shipped to your location. Products are packed on 48” x 40” shipping pallets with 250 lbs. of dry ice and shrink-wrapped.

Do I have to pay shipping charges? We pay the freight on all orders over 396 assorted units. However, there is a $.73 freight surcharge on each unit under 396.    You only pay shipping on what you don’t sell. See our Shipping Info page.

Distribution:

Where should I organize the distribution? The distribution should take place in a large area like a gymnasium. We suggest you recruit two adult helpers.

How will I know what to expect on the day of the delivery of my order? A reconciliation form will be Emailed or Faxed to you by J&M Fundraising that will show the approximate time of delivery and the number of pallets you should receive. Your order will arrive by tractor-trailer. If you cannot accommodate this, please let us know immediately.

When should distribution of the products begin? Distribution should begin the day of or the day after arrival. Parents should plan to pick up their child on that day, along with their fundraising products.

What should I do after my shipment arrives? First, count the boxes you have received, note that amount on the delivery receipt and sign it. Then sort the product into separate piles by flavor. Each box is color-coded and no box should contain more than one flavor. Boxes labeled “partial case” should be opened and products placed in the appropriate pile.

How and when should I complete my reconciliation form? Complete your reconciliation form BEFORE distribution. Indicate how many of each flavor you have received. If your first count doesn’t agree with your packing slip, please recheck. All orders are thoroughly counted and weighed to make sure the order is packed with the correct number of units. If there is a discrepancy between your count and the packing slip, please notify us no less than 24 hours, and note the discrepancy on the reconciliation form which should be given to J&M Fundraising, who will rectify the discrepancy.

How should I begin distribution? Begin distribution by taking each child’s brochure and use the totals quantity at the bottom of each flavor column to fill the number of each flavor needed. It’s best to set up an area for each teacher, class or grade or group and put each child’s order with the appropriate group. When you finish an order, tape their brochure to the top of their tubs.

Is it O.K. if products are un-refrigerated? Although our cookie dough has a thawed shelf life of 21 days, other products left over after distribution should be refrigerated or refrozen within 12 hours.  However, thawing is not detrimental to the products.
